How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.50, and 45 minutes is 0.75. So 7 hours 45 minutes is 7.75 hours. The calculator shows both formats for every day and for the total.
How is weekly overtime calculated?
Under the US federal rule (FLSA), hours over 40 in a 7-day workweek are paid at 1.5 times the regular rate. In bi-weekly mode each week is checked separately, so 45 hours in week one and 35 in week two still gives 5 overtime hours. Choose your state to add daily overtime where it applies.
Does the calculator handle overnight shifts?
Yes. If the clock-out time is earlier than the clock-in time, the shift is treated as crossing midnight. 10:00 PM to 6:00 AM counts as 8 hours before breaks.
How does holiday pay work in this calculator?
Tick Holiday on any day worked on a holiday. Those hours are paid at the holiday multiplier you choose (1.5× by default) and are kept out of the overtime count so they are not paid a double premium. Employer policies vary, so check yours.
Which states have daily overtime?
California (over 8 hours a day, double time over 12), Alaska (over 8 hours a day), Nevada (over 8 hours a day for workers paid under $18.00 an hour) and Colorado (over 12 hours a day). Every other state uses the 40-hour week. Pick your state in the calculator and it applies the right rule.
Does it work in Canada?
Yes. Switch the country to Canada and choose your province or territory, or “Federally regulated workplace” for banks, airlines and other federal employers. Pay is shown in Canadian dollars. Every province is included, from BC’s double time after 12 hours to Nova Scotia’s 48-hour week and PEI’s new 44-hour limit.
Can I use my union’s overtime rules?
Yes. Set Overtime rules to Union agreement and enter your collective agreement’s terms: overtime after so many hours a day or a week, time and a half or double time, double time after a set number of hours, and Saturday or Sunday premiums. Common patterns, such as double time after 8 hours a day or 40 a week, are built in as starting points, and you can add your local's name to the timesheet.
What should a timesheet include?
The pay period dates, the employee and employer names, the job or site, clock-in and clock-out times for every shift, unpaid breaks, daily and weekly totals split into regular time and overtime, and signatures from the employee and supervisor. The calculator’s PDF and printout include all of these.
How long should timesheets be kept?
In the US, employers must keep time cards for at least 2 years and payroll records for 3 years under the FLSA. In Ontario, employers keep records of hours worked for 3 years. Keep your own copies as well; a PDF or CSV from the calculator is an easy way to do that.
What is the difference between gross pay and net pay?
Gross pay is everything you earned before deductions: regular pay, overtime, premiums and vacation pay paid on the cheque. Net pay is what is left after income tax, Social Security and Medicare (US) or CPP and EI (Canada), union dues and other deductions. The calculator shows gross pay.
Does it handle split shifts or two jobs in one day?
Yes. Tap “+ Split” on any day to add a second clock-in and clock-out, each with its own job or site. Both are added together before overtime is worked out.
